Manage and coordinate the Office of the Chief Executive Officer by ensuring efficient executive support, smooth office operations, effective communication, and timely follow-through on priorities, meetings, correspondence, and special projects, while maintaining the highest standards of professionalism, confidentiality, and service excellence in support of the company's strategic objectives.

Threshold Qualifications
  • Bachelor’s degree in Business Administration, Management, Communications, Office Administration, or a related discipline is preferred.
  • Professional certifications in executive assistance, office administration, project coordination, or a related field will be considered an advantage.
  • Advanced proficiency in Microsoft Office applications, document preparation, and calendar management is required.

Years & Nature of Experience
  • A minimum of 5 to 7 years of progressive experience in executive office management, office administration, executive support, or a similar role supporting senior leadership.
  • Demonstrated experience in managing executive calendars, travel arrangements, meetings, correspondence, office operations, and confidential documentation.
  • Strong experience in coordinating across internal departments and external stakeholders while ensuring timely follow-up on executive priorities and action items.
  • Experience within the UAE and familiarity with professional business protocols in executive environments are highly desirable.

Key Responsibility    
  • Executive Calendar and Schedule Management - Manage the CEO’s calendar, appointments, meetings, travel plans, and related logistics to ensure optimal use of time, effective prioritization of commitments, and timely coordination of all executive activities.
  • Office Operations and Administrative Coordination - Oversee the smooth day-to-day functioning of the CEO Office by managing administrative processes, correspondence, records, supplies, visitor arrangements, and office requirements in a professional and efficient manner.
  • Communication, Documentation, and Follow-Up - Prepare, review, and coordinate executive correspondence, presentations, reports, agendas, and meeting materials, while tracking action items and ensuring timely follow-up with relevant stakeholders on decisions and priorities issued by the CEO.
  • Stakeholder Liaison and Meeting Coordination - Serve as a key point of coordination between the CEO and internal as well as external stakeholders by organizing meetings, preparing briefing materials, supporting protocol requirements, and facilitating effective communication and engagement.
  • Confidentiality, Service Excellence, and Continuous Improvement - Handle sensitive information with absolute discretion, maintain high standards of professionalism and service, and identify opportunities to improve executive office systems, processes, and coordination in support of organizational effectiveness.
